Invoicing software for Swiss SMEs: which one suits your business? (2026)

Which invoicing software suits your Swiss SME? The big Swiss comparison of 21 programs — with current prices, strengths and limits.

The essentials

  1. The QR-bill is not a selection criterion: all 21 solutions produce it, and all 21 read bank statements in the camt format. That is the entry ticket to the Swiss market.
  2. They part company on the return leg and on dunning — that is, on how much manual work is left once the invoice has gone out.
  3. 10 of the 21 vendors state an entry price publicly, in the middle CHF 25.– a month, the highest published at CHF 64.–. For 11 the price starts with an enquiry.
  4. 6 solutions have a permanently free tier — for businesses with few invoices a month, often enough.
  5. An open interface is offered by 16 of 21. It decides whether the invoice data lands in the accounts or whether somebody retypes it.

Five criteria in the order in which they shorten the list

Each can be answered yes or no before you request a single quotation. Ordered by effect: the first strikes out the most, the fifth the least — and is the most expensive when it is missing.

  1. Recurring invoices

    For subscriptions, maintenance contracts and rents this is the function that saves working time — not the invoice template. Whoever issues the same thirty invoices every month decides here and nowhere else.

  2. Dunning

    Whether the solution runs the dunning stages itself or somebody has to keep an eye on a list. That is the difference between a setting and a weekly task.

  3. The route into the accounts

    An open interface is offered by 16 of the 21 solutions. Without one, the seam between invoice and entry creates typing work nobody plans for. Whoever keeps the accounts in the same program can strike this criterion.

  4. Currencies

    If you invoice in euros you need several currencies — 14 of the 21 solutions carry them, 7 do not. Ask additionally how the exchange difference is posted; that is where even those advertising «multiple currencies» in their data sheet differ.

  5. Price and price information

    Only now the price. 10 vendors state an entry price publicly, in the middle CHF 25.– a month. For the other 11 it starts with a phone call: 6 sell only through distribution partners, 1 give prices only on request, 2 only in their own calculator.

With one vendor a hundred invoices a month are included, with the next twenty, with the third it is counted per user. Two figures side by side are therefore information about two offers and not yet a price comparison.

It becomes comparable when you fix three numbers: invoices per month, number of users, number of client files. Ask for the price for exactly that scope, otherwise you are comparing entry tiers hardly any business orders.

Migrating from an existing solution

Here the timing does not depend on the financial year but on the open invoices. As long as open items sit in the old solution you need both — and a reminder for an invoice from the old system cannot be triggered in the new one.

Before the switch, three things belong clarified: in what format the old solution releases customers, items and open items, whether the new one reads that, and whether the invoice numbers continue without gaps. The third point is the one nobody thinks of and the one an audit asks about first.

Do I need separate invoicing software if I have accounting software?

Often not — many accounting solutions invoice too. A separate solution pays off if the invoice volume is large, if recurring invoices shape the daily work, or if several people invoice and nobody should open the accounts.

Does an invoice have to use the QR-bill?

The payment slip has been retired, and the QR-bill is the standard for payments in francs and euros within Switzerland. All 21 solutions compared produce it — which is why it is not a selection criterion.

How long must I keep invoices?

Ten years, counted from the end of the financial year — Article 958f of the Code of Obligations. That applies to the invoice as an accounting document. So ask about the export format before you sign: the retention duty survives any cancellation.
